How to install, set up and test EquipPoint, how to ask for help, and when we reply.

Install, set up and test

About 20 minutes. You need SharePoint Online in Microsoft 365, a SharePoint administrator for step 1, and a site owner for the rest. No Microsoft Graph permission, no extra licence and no key are needed.

  1. Add the app. A SharePoint administrator adds EquipPoint to the tenant app catalog and deploys it (or adds it to one site from Site contents, New, App).
  2. Add the web part. On a modern team or communication site, create a page, add the "EquipPoint Asset Management" web part (toolbox group Advanced) and publish the page. A full-width section, or a single-part app page (full-page app), gives the most room.
  3. Run the set-up wizard. Open the page as a site owner. Give the register a name, choose the register owner, add one school or site with a short code (for example ELM) and choose Set up EquipPoint. It creates the EquipPoint lists and libraries on this site in about a minute.
  4. Use every feature for 14 days. Every new EquipPoint register includes a 14-day evaluation of every feature, with no key, counted from set-up. After that, without a licence key the register is read-only: you can still search and open every asset and its history, and nothing is lost.
  5. Try it end to end. Add a few assets. Choose Scan and type an asset number in the "Handheld scanner or code" box, or use a camera. Select assets and choose Print labels to make a PDF label sheet. Check one out to a colleague with a due date and "Sign now on this device": the PDF receipt is saved in the EquipPoint Documents library. Start a stocktake, scan or type a few asset numbers, and close it to see what was found and not found.
  6. As a site member. Open the same page and choose My kit: the asset checked out to you is listed with its due date and receipt.

Microsoft Teams, Viva Connections and phones

  • Teams: an administrator selects EquipPoint in the tenant app catalog and chooses Add to Teams (Sync to Teams in the classic app catalog). Then add EquipPoint as a tab in a channel of a team whose site has EquipPoint set up (a shared or private channel uses its own SharePoint site), or open the EquipPoint personal app for My kit and paste the address of the site where EquipPoint is set up.
  • EquipPoint not in Teams? If it does not appear after Add to Teams, or SharePoint says it is blocked in the Teams admin center, your tenant keeps new custom apps blocked. A Teams administrator allows it in the Teams admin center: Teams apps, Manage apps, EquipPoint, Allow, and makes it available to everyone.
  • Viva Connections: edit your dashboard and add the EquipPoint card: it shows how many items each person holds and how many are overdue, and opens My kit and the scanner.
  • Phones: open the same page in the SharePoint or Teams mobile app. Scan uses the phone camera or, in Teams, the Teams scanner, and needs permission for the camera. A label scanned with the phone's own camera opens your EquipPoint page, and the asset after Microsoft 365 sign-in. NFC tags need Chrome on Android.
  • Printers: labels are PDFs for any printer. Zebra and DYMO label printers are optional and need the maker's own software on the computer.

Licence keys

A site owner opens EquipPoint, chooses Licence, then Enter licence key. If you can edit your tenant app catalog the key is saved for every site; otherwise for this site. Keys are never shown again after they are saved.

Once a day EquipPoint tells us which licence it is using (no names and nothing about your assets), so we can help with your licence. A site owner can switch that off in the same Licence panel. Details are in the privacy notice.

Permissions

The EquipPoint package needs no Microsoft Graph approval: it works with each person's own SharePoint access, so people see and change only what they already can. The security page lists every permission of every optional part.

Raise a support request

  1. Use the contact form and choose "Help with EquipPoint (support)": open the support form. Or email info@apps365ltd.com.
  2. Tell us what you were doing, what you expected and what happened, the address of the SharePoint page where EquipPoint is set up, and the version shown at the bottom of EquipPoint.
  3. Leave out passwords, licence keys and personal details of the people in your register. We never need them, and we will never ask for a password.

When we reply

We aim to reply within one working day: Monday to Friday, 9:00 to 17:30 UK time, except UK bank holidays. Requests from Tenant Connected customers are answered first. If something stops your organisation working, say so in the first line and we aim to look at it straight away within those hours.

Security or data protection concerns: info@apps365ltd.com, or see security.txt.

Accessibility

Our accessibility statement says how EquipPoint and this website are built and tested, and what does not work well yet. To report an accessibility problem, use the support form and say it is about accessibility; we aim to reply within one working day.

Your data

Your register stays in lists on your own SharePoint site. What our service keeps, for how long, and who helps us run it are in the privacy notice and the data processing addendum.

Switching things off

The daily licence check-in: EquipPoint, Licence. Removing EquipPoint: delete the web part and remove the app; your lists stay on your site until you delete them.

Optional parts, and what is coming later

The Intune Connector

An optional, separate package, "EquipPoint Intune Connector", that matches Intune devices to assets. It is not part of the main package and EquipPoint works fully without it. Ask for it through the support form. A SharePoint administrator uploads it to the app catalog; a Global Administrator approves its one permission (read Intune managed devices) in the SharePoint admin centre, Advanced, API access; then IT staff add its web part to a page on the register site, run Preview, and then Sync from Intune. The tenant needs an Intune licence.

The Copilot agent

An optional, separate agent that answers questions about one register by searching its Assets list. It is not part of the main package. Ask for it through the support form; your administrator builds it for your register and uploads it. Everyone who uses it needs Microsoft 365 Copilot; it reads registers of up to 20,000 assets, it searches rather than counts, and it shows only what each person can already open.

Coming later

A public scan page where visitors can report a fault or a found item without signing in, and certificate upload by QR for contractors. Tenant Connected background services (scheduled Intune and Entra sync, leaver kit recovery, reminder emails and digests) are added as they ship.
